Initially, this real estate company had experienced several IT challenges that would prove stressful and frustrating for any small company. Hired to identify the hardware issues and provide local IT support northern beaches, Techstream Solutions transformed the environment to become stable and highly efficient.
Doyle Spillane is a leading real estate company located on the northern beaches of Sydney. As well as a large sales portfolio, they also manage a reputable property management and project marketing team. They currently staff 25-30 employees.
Grace Mendicino, Director and General Manager of Doyle Spillane is responsible for any key decisions relating to their IT infrastructure. As a result, finding local IT Support Northern Beaches based was a priority.
Grace described the original IT system as having three major pain points:
1. Hardware issues leading to an unstable/volatile environment
Constant downtime on the network, delays in resolving in-house issues pertaining to hardware/software non compatibility.
2. Support Service Knowledge
Insufficient support service by the previous IT company, resulted in a revolving door of technicians who were unfamiliar with the Doyle Spillane network and challenges.
3. Local IT Support Northern Beaches

As Project Manager and IT Consultant, Ralph conducted a thorough computer system audit of Doyle Spillane’s infrastructure in an effort to assess and identify the causes contributing to the network failing. The following issues were discovered:
- Email – high levels of spam caused by insufficient in-house mail filter;
- Internet – extremely slow connection;
- Server/network connectivity – not streamlined. Overloaded
- Back up – limited backup options;
- Warranty – No warranty onhardware components;
- Workstations – were underpowered providing users with ongoing technical issues.
The problems outlined were indeed catalysts that contributed to creating a highly volatile system. It was clear the IT configuration was not servicing the requirements of Doyle Spillane and placing an immense amount of pressure on the company who was not achieving maximum working efficiency. Furthermore, a complete restructure would prove costly to the company.
IT AUDIT : Various approaches for a solution were investigated, including a complete upgrade of the system. It was agreed the best method would be to retain the current system and implement the necessary preventative measures in an effort to improve stability. Once stabilised, the focus would be to protect and rebuild. This would prove the least disruptive, most cost effective approach and still deliver a successful solution.
SPAM FILTERING : Procedures such as the installation of an external mail filter, Mail Guard, were undertakento block excessive spam. Over 10,000 emails were being received daily and the internal filter could not manage the level of emails being delivered, resulting in numerous knock on effects.
FAST INTERNET : The internet connection, a 4 megabits A-Synchronous service was inadequate and contributed to the slow connection. Increasing to a 10 megabits A-Synchronous service was an obvious choice to enhance speed significantly.
BACKUP AND RECOVERY : The server had no redundancy, making the entire network vulnerable. To protect the company’s data, Techstream Solutions installed an additional server to divide the applications. The benefit of this installation would mean if one server became redundant, the company would still be able to access all applications on the second server. A NAS (network attached storage) was also installed to house imagery.
Doyle Spillane continued to operate using the original IT configuration for the next 4-5 years. It’s a credit to Techstream Solutions support and service to have pushed the boundaries of the existing infrastructure and still achieve maximum productivity for Doyle Spillane.
As the company expanded, new challenges developed. In 2014, it became obvious there was a need to look at the implementation of a sophisticated IT set up to cater for their increased growth demands. This would include greatly superior network system featuring multiple redundancies, a leading edge backup unit and the introduction of a standard operating environment (SOE). All workstations would be replaced and now featured identical configurations.

The new server infrastructure was a substantial investment for Doyle Spillane. Doyle Spillane investigated the option of buying versus renting all the hardware/software components. Tax advantages indicated it was indeed more advantageous to rent, as they were able to deduct the full cost of rental equipment from taxable income. Renting also presents little risk as interest rates are fixed so it would be easier to forecast cash flow. Although more expensive, it offered greater flexibility, particularly as Doyle Spillane were not absorbing any upfront expenses. By renting, Doyle Spillane could also consider a higher standard of equipment which may have been out of budget if they were to outright purchase.
The benefit of this investment has been very rewarding for Doyle Spillane. By understanding and listening to their client’s requirements, Techstream Solution’s Northern Beaches IT Support Services were able to successfully deliver a sophisticated, state-of-the-art IT infrastructure. Doyle Spillane’s workplace is now a highly efficient, stable and secure environment. They no longer experience downtime and the advantages of introducing the standard operating environment has resulted in minimal requirements for IT support service. This alone has provided considerable cost savings to the company. Ultimately and most uniquely, was the clever approach by Doyle Spillane to engage in a rental agreement with Techstream Solutions for all the hardware components. This would allow Techstream Solutions the opportunity to achieve the ultimate design configuration, whilst keeping capital expenditure at a minimum.
Techstream Solutions demonstrated that by listening to their client’s requirements, they were able to provide the guidance and reassurance that would allow Doyle Spillane the confidence to invest on the development of their IT infrastructure.
Overall, it was of great relief for Doyle Spillane to have a team of highly experienced IT consultants willing to understand their requirements, provide know service to meet their operational needs and also be able to provide guidance and reassurance to create a highly efficient system that would tick all the boxes for a growing company. Doyle Spillane are very satisfied with the development of their IT infrastructure and enjoy the flexibility of IT support on the northern beaches.
