Brescia furniture is a renowned family retail business that has been operating in Australia since the 1960’s. Techstream (previously IBTHO) has been working with Brescia since early 2000.  During this time, Techstream Solutions has implemented multiple IT infrastructure upgrades in an effort to keep their systems current and accommodate their changing environment.

Client’s IT Requirements

The initial requirement for Brescia when IBTHO was first engaged was service orientated.  They felt their current IT provider did not deliver efficient service or support and as a result the productivity of staff was poor primarily as a result of their technology infrastructure.  Brescia required a proactive ITC Company who had the expertise and knowledge to offer guidance, a new direction and the foundation of an excellent support service.

Brescia’s main concern was that they needed to improve communication performance between their head office, city store and warehouse.  At the time they had a 128k leased line connection which connected their offices to allow access to their Novell Netware File server, Groupwise Email server and custom CRM system. Due to the cost of networks at the time the speed between offices was causing staff to wait a frustrating 30 minutes or more to log into applications each time. Staff had no choice, but to sit and wait after each change or entry, impacting productivity greatly.   With staff spending most of their time waiting for their computers to process requests and their IT support company unable to offer a better solution blaming technology restrictions, Brescia set out to find another solution.

Our IT Solutions

At the time, network speeds were a major issue for Australian businesses.  IBTHO engineers worked on a solution that would prove both light on the network with the ability to still access all systems and applications located at head office. The solution involved the upgrade of servers to current versions including Novel Netware and Groupwise and the implementation of Citrix for remote access. Once the upgrade was completed, staff in remote locations were working just as efficiently as those at head office. It also allowed management to realise that the need for expensive private network connections between the offices to access data was no longer required.  As a result this infrastructure solution presented the ability for expansion of the Brescia brand with further stores opening throughout Sydney. Over time the solution was upgraded to continue to meet Brescia’s growing company requirements. The move to a Microsoft Active Directory and Microsoft Exchange meant the implementation of the Microsoft Office suite.   The benefits of this software installation eliminated the requirement for intense training of the older Novel Netware and Groupwise applications which proved to be a constant issue in the retail industry with a high turnover of staff.  It also allowed for simple email configurations on mobile phones as the shift to email communication was becoming an industry standard and staff were constantly on the go.

As Brescia’s business evolved and with technology constantly changing, they finally moved to their current setup which includes a privately hosted cloud environment where they have the ability to use the services that best suit their business. Client’s IT Requirements

Risk Logic were looking for a Sydney ITC company who could offer a superior computer support service as they believed they were not receiving adequate support from their existing provider. Risk Logic were after a professional ITC Company who could meet their requirements, mainly to perform a complete restructure to complement their forthcoming move to new offices located in the CBD.  Techstream Solutions were appointed their new provider in June 2016.

Our IT Solutions

Understanding the requirements and brief provided by Risk Logic, the team of ITC Engineers at Techstream Solutions designed a complete cloud based solution incorporating Office 365, Soonr (Workplace), VOIP telephony and new Microsoft Surface Pro devices.  The complete overhaul of products was a significant change to Risk Logic’s technological environment, but allowed flexibility for staff to work from any location, from multiple devices.  They no longer experienced any restrictions and as a result their productivity levels increased.

As well as a changes in software and hardware devices, we also assisted by undertaking an IT audit and subsequently designing a solution that would work with their business direction for an agile working environment. We implemented an SOE (Standard Operating Environment) at both a software and hardware level so that staff could move freely around the office. The desks in their new office were not allocated to any staff members (similar to a Hot Desk solution).

Furthermore, Techstream Solutions were able to assist with an audio visual solution for their meeting rooms. This included audio/visual, internet and WiFi.  Techstream Solutions provided a consultancy service throughout the new office fitout process to ensure the correct technology provisions were installed.

As the final component, Techstream Solutions implemented a Disaster Recovery and Business Continuity strategy.  This included the provision of an on-premise server to ensure Risk Logics’ Cloud File server solution was backed up and Mailguard was implemented for their Email BC plan.

Ongoing IT Support and Managed Services

Once implementation of the restructure was complete, Risk Logic entered a Service Level Agreement to assist with ongoing computer support and managed IT services.  Our all-encompassing Stream360 plan proved to be the right fit, providing a complete service and maintenance structure.  Risk Logic’s systems are now monitored and supported to keep staff working efficiently, increasing staff productivity and removing any possible exposure to previous support issues. Client Case Study: Doyle Spillane Real Estate

Techstream Solutions has been the preferred IT service provider, providing IT Support Northern Beaches to Real Estate Agency Doyle Spillane since 2009.  Initially, this real estate company had experienced several IT challenges that would prove stressful and frustrating for any small company.  Hired to identify the hardware issues and provide local IT support northern beaches, Techstream Solutions transformed the environment to become stable and highly efficient.

Doyle Spillane is a leading real estate company located on the northern beaches of Sydney.  As well as a large sales portfolio, they also manage a reputable property management and project marketing team.  They currently staff 25-30 employees.

Grace Mendicino, Director and General Manager of Doyle Spillane is responsible for any key decisions relating to their IT infrastructure.  As a result, finding local IT Support Northern Beaches based was a priority.

Grace described the original IT system as having three major pain points:

1. Hardware issues leading to an unstable/volatile environment

Constant downtime on the network, delays in resolving in-house issues pertaining to hardware/software non compatibility.

2. Support Service Knowledge

Insufficient support service by the previous IT company, resulted in a revolving door of technicians who were unfamiliar with the Doyle Spillane network and challenges.

3. Local IT Support Northern Beaches

Having a local IT Service Provider for fast, reliable service and IT support northern beaches based was extremely important.

IT Problems:

Frustrated, stressed and on a mission to find a reliable, knowledgeable and local IT Support Northern Beaches company, Grace engaged the services of Ralph Guardala, Director of Techstream Solutions.  As Project Manager and IT Consultant, Ralph conducted a thorough computer system audit of Doyle Spillane’s infrastructure in an effort to assess and identify the causes contributing to the network failing.  The following issues were discovered:

• Email – high levels of spam caused by insufficient in-house mail filter;
• Internet – extremely slow connection;
• Server/network connectivity – not streamlined. Overloaded
• Back up – limited backup options;
• Warranty – No warranty onhardware components;
• Workstations – were underpowered providing users with ongoing technical issues.

The problems outlined were indeed catalysts that contributed to creating a highly volatile system.  It was clear the IT configuration was not servicing the requirements of Doyle Spillane and placing an immense amount of pressure on the company who was not achieving maximum working efficiency.  Furthermore, a complete restructure would prove costly to the company.

IT Solutions:

IT AUDIT : Various approaches for a solution were investigated, including a complete upgrade of the system.  However, it was agreed that the best method would be to retain the current system and implement the necessary preventative measures in an effort to improve stability.  Thereafter, once stabilised, the focus would be to protect and rebuild. This would prove the least disruptive, most cost effective approach and still deliver a successful solution.

SPAM FILTERING : Procedures such as the installation of an external mail filter, Mail Guard, were undertakento block excessive spam.   Over 10,000 emails were being received daily and the internal filter could not manage the level of emails being delivered, resulting in numerous knock on effects.

FAST INTERNET : The internet connection, a 4 megabits A-Synchronous service was inadequate and contributed to the slow connection.  As a result, we increased to a 10 megabits A-Synchronous service to enhance speed significantly.

BACKUP AND RECOVERY : The server had no redundancy, making the entire network vulnerable.  To protect the company’s data, Techstream Solutions installed an additional server to divide the applications.  The benefit of this installation would mean if one server became redundant, the company would still be able to access all applications on the second server. Furthermore, a NAS (network attached storage) was also installed to house imagery.

Doyle Spillane continued to operate using the original IT configuration for the next 4-5 years.  It’s a credit to Techstream Solutions support and service to have pushed the boundaries of the existing infrastructure to achieve maximum productivity for Doyle Spillane.

As the company expanded, new challenges developed.  In 2014, it became obvious there was a need to look at the implementation of a sophisticated IT set up to cater for their increased growth demands.  This would include greatly superior network system featuring multiple redundancies, a leading edge backup unit and the introduction of a standard operating environment (SOE). All workstations would be replaced and now featured identical configurations.

Investment:

The new server infrastructure was a substantial investment for Doyle Spillane.  Doyle Spillane investigated the option of either buying or renting the hardware/software components.  Tax advantages indicated it was more advantageous to rent. By renting, they were able to deduct the full cost of rental equipment from taxable income.  Furthermore, renting also presents minimal risk as interest rates are fixed.  As a result, it would be easier to forecast cash flow.  Overall, renting offered greater flexibility, particularly as Doyle Spillane were not absorbing any upfront expenses. By renting, Doyle Spillane could consider a higher standard of equipment which may have been out of budget if they were to outright purchase.

The benefit of this investment has been very rewarding for Doyle Spillane.  By understanding and listening to their client’s requirements, Techstream Solution’s Northern Beaches IT Support Services were able to successfully deliver a sophisticated, state-of-the-art IT infrastructure.  As a result, Doyle Spillane’s workplace is now a highly efficient, stable and secure environment. Best of all, they no longer experience extended periods of downtime.   The advantages of introducing the standard operating environment has resulted in minimal requirements for IT support service.  This alone has provided considerable cost savings to the company. Ultimately and most uniquely, was the clever approach by Doyle Spillane to engage in a rental agreement.  This would allow Techstream Solutions the opportunity to achieve the ultimate design configuration, whilst keeping capital expenditure at a minimum.

Results:

Techstream Solutions demonstrated that by listening to their client’s requirements, they were able to provide the guidance and reassurance.  As such, this would allow Doyle Spillane the confidence to invest on the development of their IT infrastructure.

Overall, it was of great relief for Doyle Spillane to have a team of highly experienced IT consultants willing to understand their requirements.  Techstream Solutions met their operational needs, provided guidance and reassurance to create a highly efficient environment.
